
Terms and Conditions
Sugarville 2025 is an event organized by Sugarspin Lindy Hop Groningen (Sugarspin).
By registering, booking your ticket and attending, you consent to the following Terms and Conditions of Sugarville:
Pictures and recordings
Pictures and recordings will be made during the event. By registering you agree to the use of pictures or video material from the event for the purpose of public reporting on the event or the promotion of future events, including social media and the Sugarspin website.
Video recordings and photography by anyone but the Sugarville organisation during classes is not allowed unless explicitly consented to by the people who might be in the recordings/photos. Recordings of teachers during classes are not allowed unless explicitly consented to by the teachers, or when they show a demo at the end of class that is obviously meant for recording.
In general, avoid taking “sneaky” pictures or videos. Making surreptitious recordings may lead to disciplinary measures, and can lead to exclusion from further participation in (parts of) the event
Age
You must be at least 18 years old to enroll in this event. If you are younger than 18, please have your legal guardian contact us.
Enrollment
All participants must fill out the registration form individually.
Everyone who enrolls will be placed on a waiting list. If we have a spot for you we will send you a confirmation email.
Payment must be made within 7 days after receiving your confirmation email. If you do not pay within 7 days we might give your spot to the next person on the waiting list.
Your spot in the event will be secured once payment has been received.
Waiting list and partners
We will take people off the waiting list on a “first come, first serve” basis, but we will prioritize class balance between leaders and followers in doing so.
We want everyone to have the same opportunity of securing a ticket for Sugarville.
We also understand that some people might only want to come to Sugarville together with their (dance)partner. Therefore we do offer the option of signing up with a partner.
In the past we have had people “hunting” for a partner to sign up with, only in order to move themselves up on the waiting list, and we wish to prevent this.
This means that, for the first 2 weeks after registrations open, we will not prioritize people who sign up with a partner over those who don’t. Instead, if you sign up with a partner, we will only grant you a spot if we can also offer your partner a spot, based on both your spots on the waiting list (which is first come, first serve, role based). After 2 weeks we will start allowing couples in before single leads/follows, in case this helps us maximizing ticket sales for the festival.
People who “Swing both ways” can be assigned either role in class during the workshops.
Refund policy
We offer no refunds in case of cancellation by a participant, regardless of the reason for cancellation.
You can, however, transfer your pass to someone else with the same role and track. If you wish to do so, please contact the organization of Sugarville, we might be able to help find someone from the waiting list to take over your pass.
If we have to cancel the event before it starts due to unforeseen circumstances (force majeure) you will receive a partial refund, depending on the costs that have already been incurred. Sugarspin will not make a profit on the event in case the event is canceled.
Safety
We want Sugarville to be a safe environment for everyone. We therefore do not tolerate any form of harassment, be it based on race, ethnicity, gender, gender identity, age, disability, physical appearance and body size, dancing skills or preferred roles. If you see or experience any form of unsafe behavior, please reach out to any of the organizers. We promise to treat any reports made, from dancers in our home scenes or elsewhere, with sensitivity and to keep all details as confidential as possible.
The organization reserves the right to expel anyone who acts inappropriately from the event, without eligibility for a refund.
Dancing is a physical activity in a small environment and, as such, everyone is responsible for both their own physical safety and that of others nearby. Practice safe floor-craft, apologize if you accidentally bump into, or hurt another person. No aerials are allowed on the social floor, except in jam circles. Please refrain from providing unsolicited dancing advice on the social dance floor, except in cases where the safety of yourself or others is at risk.
The organizers can not be held liable for any damage or loss of personal goods during the event.
The organizers can not be held liable for any physical injuries incurred during the event.
Schedule and class tracks
The organizers reserve the right to make reasonable changes to the schedule before and throughout the event.
If the organizers or workshop teachers conclude that you belong in a different track, we reserve the right to change your track.
We may organize auditions for class tracks if we need to make changes to group sizes.
In the case that not all of the tracks are filled, we may have to reorganize the groups – but we will always inform you of any changes and options in advance.
